Contest: Quick Rules Summary 🌳

When an organisation registers tree planting event(s) for European Tree Planting Day 2025 (“EUTPD 2025”), it will be automatically entered into the EUTPD 2025 Contest!

  • Prize: €2,500 for the organisation that mobilises the most participants (across one or several registered events) between 15th of October 2025 and 28th of February 2026 inclusive.

  • How to win: After your event(s), you’ll need to provide proof of how many people participated in the event(s), for example via photos, participant lists, or media coverage.

  • Timing: The winner will be announced after the planting season ends in spring 2026 (by April 30). The prize will be paid by bank transfer.

  • Who can enter: Any organisation (schools, NGOs, municipalities, associations) that registers a tree planting event on the EUTPD initiative and then physically holds that event.

  • Fair play: Numbers must be realistic and verifiable. Organisations must provide proof to verify the information provided.

  • Photos & data: By sending photos or participant information, you confirm that you have permission from the people shown to do so. Your data will only be used to run the Contest and promote EUTPD 2025, in accordance with GDPR rules.

 

Legal Basis - Rules (“Rules”) of the European Tree Planting Day 2025 Contest (“Contest”)

1. Organiser

The Contest is organised by Life Terra Foundation, ANBI: 860322129, with address at Kastrupstraat 11D, 1043 CR Amsterdam, The Netherlands (hereinafter referred to as "the Organiser").

2. Purpose

The Contest aims to recognise and reward the organisation that mobilises the highest number of participants in one or more tree planting events that have been registered on the official EUTPD 2025 website: https://www.treeplantingday.eu/ (“Organiser’s Platform”) as part of European Tree Planting Day 2025 initiative (“EUTPD 2025”).

3. Eligibility

  • Participation in the Contest is open to all organisations (e.g. NGOs, schools, municipalities, associations) that register one or more events on the Organiser’s Platform.
  • Individual persons cannot directly participate; they can only participate as part of an organisation.
  • The Organiser, its employees, and direct project partners are excluded from participation.

4. Registration

  • To enter the Contest, organisations must register their event(s) on the Organiser’s website between 15 October 2025 and 28 February 2026, inclusive.
  • By registering, organisations are automatically included in the Contest and agree to be bound by the Rules.

5. Contest Mechanism

  • The organisation that mobilises the largest number of participants to physically attend one or more tree planting events, as registered on the Organiser’s website for EUTPD 2025, will be declared the winner. Such tree planting events must take place between October 15th 2025, and February 28th 2026, inclusive.
  • Participant numbers must be realistic, verifiable, and correspond to actual attendees.
  • Organisations must provide supporting evidence (e.g. participant lists, photographs, or media coverage) to validate the reported participation numbers.
  • The Organiser reserves the right to request additional information or documentation to verify attendance.

6. Verification and Awarding of the Prize

  • Verification of the reported participation will be carried out by the Organiser after the close of the tree planting season (by April 30, 2026).
  • The Organiser reserves the right to disqualify entries that cannot be reasonably verified or where evidence is deemed insufficient.
  • The winning organisation will receive a monetary prize of 2,500 EUR.
  • The prize will be transferred by bank transfer to the official bank account of the winning organisation within 30 days of the announcement of its win.

7. Timeline

  • Event registration period: 15/10/2025 until 28/02/2026.
  • Verification and announcement of the winner: by April 30, 2026.

8. Data Protection (GDPR Compliance)

  • In accordance with Regulation (EU) 2016/679 (General Data Protection Regulation – GDPR), the Organiser acts as Data Controllers for personal data collected in relation to the Contest.
  • Categories of data processed: organisation contact details, event information, participant numbers, and photographs or other media provided as proof of participation. Where photographs include identifiable persons, the participating organisation is responsible for ensuring that appropriate consents have been obtained before submission.
  • Purpose of processing: administration and verification of the Contest, communication with participants, and promotional activities related to the European Tree Planting Day.
  • Legal basis: Article 6(1)(b) GDPR (performance of a contract – Contest participation) and Article 6(1)(f) GDPR (legitimate interest – promotion of the initiative).
  • Data storage: Data will be stored securely and retained only for as long as necessary for the purposes of Contest administration and related reporting, and no longer than 2 years after the end of the Contest.
  • Rights of data subjects: Participants have the right to request access, rectification, erasure, restriction of processing, portability, and to object to processing, in accordance with Articles 15–21 GDPR.
  • Contact: Requests regarding personal data may be addressed to join@treeplantingday.eu.
  • Complaints: Data subjects also have the right to lodge a complaint with their national Data Protection Authority.
  • Data sharing: Personal data will not be shared with third parties except as strictly necessary for the implementation of the Contest (e.g. financial institutions to process the prize payment).

9. Liability

  • The Organiser is not responsible for any incorrect, incomplete, or fraudulent information submitted by participants.
  • The Organiser accepts no liability for any claims, damages, or losses that may arise from participation in the Contest.

10. Acceptance of Rules

Participation in the Contest implies full acceptance of the Rules.
The Organiser reserves the right to modify or cancel the Contest.

11. Governing Law

The Contest will be governed by, and subject to the laws of The Netherlands.
